Corporate Receptionist

We are currently seeking to recruit a Corporate Receptionist to join our Business Services team. This is a great opportunity to work in a progressive professional legal firm. Based in our head office in Sir John Rogerson’s Quay, Dublin 2, this position provides day-to-day reception support to all Beauchamps employees.

1. ROLE AND RESPONSIBILITIES

  • Working on a busy switchboard (ShoreTel) answering, screening, and forwarding calls to staff.

  • Meeting and greeting clients upon arrival.

  • Directing visitors to the appropriate person/meeting room.

  • Providing accurate messages in-person and via phone/email.

  • Receiving and distributing daily deliveries and courier packages.

  • Maintaining office security by following safety procedures and controlling access via the reception desk (issue security access cards)

  • Updating calendars and booking meeting rooms.

  • Booking couriers and taxis when required.

  • Ensure meeting rooms are prepared for meeting in advance.

  • Perform other clerical receptionist duties from time to time such as filing and photocopying.

  • Ensure reception area and meeting rooms are tidy and presentable with all necessary stationery and material (e.g., pens, writing pads and brochures).

  • An immediate start would be ideal.

Key Competencies

  • Previous experience working on a large switchboard is a distinct advantage.

  • A team player with an ability to multi-task and who can remain calm under pressure.

  • An ability to build and sustain effective working relationships with all stakeholders across the firm.

  • Discreet, with an ability to act in a confidential manner.

  • Excellent communication skills – both written and oral.

  • Excellent IT skills: MS Office (Outlook, Word, and Excel).

  • Motivated to achieve positive results and meet deadlines.

  • Highly organised and dedicated with good follow through.

  • Pro-active and flexible with good time management.

  • Attention to detail and accuracy is essential.

2. CONTRACT TYPE

  • This is a permanent position with a six-month probationary period.

  • 37.5 hrs per week starting (Three shifts: 8.30am – 5pm/9.00am - 5.30pm / 9.30am – 6 pm).

  • Flexibility is required to work outside normal hours from time to time.
